Welcome. These terms explain the rules for using the Belport AI website at belport.ai and the AI Concierge — our AI assistant that your building's management team runs on WhatsApp. We've tried to write them in plain English. If anything is unclear, email [email protected] — a real person reads that inbox.

For emergencies, always call 999. The assistant is an AI and may make mistakes. For fire, smoke, gas, leaks, injuries, or any situation that puts life or property at risk, contact the emergency services first and then your building manager. Do not rely on the assistant in an emergency.

The short version:

  • These terms govern your use of the belport.ai website and the AI Concierge assistant on WhatsApp.
  • The assistant is an AI. It can be wrong or incomplete — check anything important, and never rely on it in an emergency. Call 999.
  • Use the service honestly and lawfully. Don't try to break it, abuse it, or use it for anything illegal.
  • If you are a building-management company paying for the service, your signed agreement with us governs that relationship and takes precedence over these terms.
  • We may update these terms; the current version always lives on this page.

1. Who we are and how to contact us

Belport AI (Belport AI Ltd, [Companies House number to follow], registered in England and Wales) provides the AI Concierge service to residential-building management companies. In these terms, "we", "us" and "our" mean Belport AI Ltd.

2. About these terms, and which agreement applies

These are our general terms of service. They apply to everyone who uses the belport.ai website or interacts with the AI Concierge assistant.

If you are a building-management company that pays for the AI Concierge, the separate written agreement you have signed with us (for example, an order form and master services agreement, together with our Data Processing Agreement) governs that paid relationship. Where anything in that signed agreement differs from these general terms, the signed agreement wins.

If you are a resident using the assistant on WhatsApp, your building's management company decides to make the service available to you. These terms set the basic rules for your use of it; the way your personal data is handled is explained in our Privacy Notice.

By using the website or the assistant, you accept these terms. If you don't agree with them, please don't use the service.

3. The service — and what it is not

The AI Concierge is an AI assistant that helps residents with building-related matters — answering questions from your building's handbook and rules, logging maintenance requests, helping with amenity bookings, and passing messages to your management team. It draws on documents your building's manager provides and uses AI models to understand your messages and draft replies.

It is an AI, and it can get things wrong. Replies may be incomplete, out of date, or mistaken. Treat them as helpful guidance, not professional, legal, financial, medical, or safety advice. Check anything important with your building's management team before relying on it.

The assistant is not an emergency service. It does not monitor messages in real time and may not respond immediately. In any emergency — fire, smoke, gas, a flood, a medical situation, anything that puts life or property at risk — call 999 first, then contact your building manager. Do not use the assistant to report emergencies.

4. Using the WhatsApp assistant

When you use the assistant, you agree to:

  • use it only for lawful, building-related purposes;
  • give accurate information when you ask us to act (for example, when authorising a key release or booking an amenity);
  • respect other residents, staff and contractors — no abusive, harassing, threatening, or discriminatory messages;
  • not use the assistant to send spam, to impersonate someone else, or to gain access to a property or information you are not entitled to;
  • not attempt to break, overload, reverse-engineer, or manipulate the assistant or the systems behind it (including trying to make it ignore its instructions or reveal other people's data); and
  • not upload anything unlawful, or any content you don't have the right to share.

You can opt out of marketing messages at any time by replying STOP, ask for a copy of your data with DATA, or ask us to delete your data with DELETE. These and your other rights are explained in the Privacy Notice.

If you misuse the assistant, we or your building's management company may limit or suspend your access. Genuine safety concerns may be passed to your building's management team or, where necessary, to the emergency services or other authorities.

5. Using this website

You may use the belport.ai website for your own information and to get in touch with us. You agree not to misuse it — for example, by introducing malware, attempting to gain unauthorised access, scraping it at a scale that disrupts the service, or copying its content other than as allowed below.

The website may link to third-party sites we don't control. We're not responsible for their content or their practices; follow the link at your own discretion.

6. Intellectual property

The website, the AI Concierge software, the Belport AI name and logo, and the text, design and graphics we create are owned by us or our licensors and are protected by intellectual-property laws. You may view and print pages for your own reference, but you may not copy, republish, or commercially exploit them without our permission.

Content your building provides (handbooks, rules, photos) and the messages you send remain the property of whoever owns them; you simply give us permission to process them to run the service, as described in the Privacy Notice and our customer agreements.

7. Privacy and your data

How we handle personal data is set out in full in our Privacy Notice, with the suppliers we rely on listed at Sub-processors and our use of cookies explained in the Cookies Policy. Please read the Privacy Notice — it forms part of your relationship with us.

8. Availability, changes and suspension

We work hard to keep the service running, but we don't promise it will always be available or uninterrupted. We may update, change, or withdraw features, and we may suspend the service for maintenance, security, or legal reasons. Where a building stops using the AI Concierge, the assistant will stop being available to that building's residents.

9. Our responsibility to you

We provide the service with reasonable care and skill, but — because the assistant is an AI that can make mistakes — we can't guarantee its replies are always accurate, complete, or suitable for your particular situation. You are responsible for checking anything important and for following your building's official channels for safety and emergencies.

Nothing in these terms limits or excludes our liability where the law does not allow it — including liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be excluded under English law. If you are a consumer, you keep all the legal rights you have under UK consumer law.

Subject to that, we are not responsible for losses that we could not reasonably have foreseen, for losses caused by your own misuse of the service, or for the acts of your building's management company, who decides how to use the service and is responsible for their own decisions. Liability under any paid agreement with a business customer is governed by that signed agreement, not by this page.

10. For our business customers (management companies)

If you contract with us to provide the AI Concierge to your building, the commercial terms — fees, service levels, terms of data processing, liability, and termination — are set out in your signed agreement with us and our Data Processing Agreement. This page does not replace that agreement. You are responsible for telling your residents the service is available, for making our Privacy Notice accessible to them, and for using the service in line with your own legal obligations as their data controller.

11. Changes to these terms

We may update these terms from time to time — for example, to reflect changes to the service or the law. When we do, we'll change the "Last updated" date at the top of this page, and the current version always lives here. If a change is significant and affects you, we'll take reasonable steps to bring it to your attention. Continuing to use the service after a change means you accept the updated terms.

12. Governing law and where disputes are heard

These terms are governed by the laws of England and Wales. Any dispute will be dealt with by the courts of England and Wales — although if you live in another part of the UK, you can also bring proceedings in your own jurisdiction. We'd always prefer the chance to put things right first, so please contact us before taking any formal step.
